Reservations and Bookings
Applicants can reserve the property over the telephone but it will not be confirmed until a Historic House Retreats official booking form has been received. For bookings made more than 8 weeks prior to the arrival date a deposit of 50% of the total rental price must accompany a completed booking form. If a booking is made less than 8 weeks before the arrival date the full rental price together with any additional charges must accompany the completed booking form.
Final Payment
The balance and any additional charges are due 8 weeks before the arrival date. A cautionary deposit of £500 is due with the final payment. This sum will be held to cover any losses, damage and additional cleaning charges that may arise if the property is left in an unsatisfactory condition. Charges for extra services may be deducted from this. The cautionary deposit less any deductions will be refunded within fourteen days after the departure date.
Non-payment by the due date will be treated as a cancellation and the owner may re-let the property without reference to the applicant who will remain liable for payment of the full amount on the same basis as in the event of a cancellation.
Cancellation
ALL APPLICANTS ARE ADVISED TO TAKE OUT PERSONAL CANCELLATION INSURANCE. Any request to cancel a booking must be sent in writing. Whilst the applicant remains liable for the final payment by the due date as shown on the booking form the owner will offer the property for let and will use whatever means they consider reasonable to re-let the property for the period booked The owner will endeavour to re-let the property in the event of a cancellation, if however the owner is unsuccessful in re-letting the cancellation charges will be made as follows:

Methods of payment
Payment may be made by cheque payable to ‘Historic House Retreats’ in (£) sterling only or by bank transfer.
Risk
The Owners shall not be liable for any damage or injury caused the applicant or any guests in respect of the property or any amenity provided by the owner or for any loss or damage to their personal belongings howsoever arising.
Duration and times of lettings
Letting commences at 16:00hrs on the arrival date and ends at 10:00hrs on the date of departure unless otherwise agreed.

Non-Availability of property
If for any reason beyond the control of the owners, the property is not available on the dates booked (owing to fire damage for example) or the property is unsuitable for letting, all rent and charges paid in advance by the applicants will be refunded in full but the applicant will have no further claim
against the owners.
Miscellaneous
(a) The lead name/Organiser shall be responsible for the orderly conduct of guests during their stay. Consideration must always be shown to Hafod Cae Maen. Offensive or illegal behaviour will not be tolerated. Failure to comply with this request will result in individuals or the entire party being asked to leave the premises. No refund will be made and there may be an additional charge for repairs and/or compensation.
(b) Where facilities or activities are booked with third parties on the applicants behalf, the owners will not be liable to make any refund should the guests fail or refuse to use them, for whatever reason, and full payment must be made. Where facilities or activities are booked with third parties on the applicants behalf, the owners do so in good faith but will not be held liable should the standard of those services prove insufficient nor for the acts or omissions of such third parties.
(c) If any items are delivered to Hafod Cae Maen before the applicants stay prior arrangements must be made with the owners and the person making the delivery. The owners will use their best endeavours for the safe-keeping of such items and can only accept responsibility if a full inspection of the goods is made at the time of delivery. Any equipment or personal effects brought into Hafod Cae Maen by the guests remain at their own risk and the owners will not be liable in the event of any loss, theft or damage.
(d) The rental price of Hafod Cae Maen is for the exclusive use of the house regardless of the number of people staying.
(e) Wales operates a non-smoking policy in enclosed public places. Hafod Cae Maen is a non-smoking property and smoking is only permitted outside of the property.
(f) We welcome well-behaved dogs only by prior arrangement.
(g) Hafod Cae Maen has two floors. Due to the age of the building we regrettably have no wheelchair access and young children
must be supervised at all times.
(h) The garden at Hafod Cae Maen contains tall trees, dense undergrowth, steep banks and high walls. The property is surrounded by barbed-wire fencing. Children must be supervised at all times.
